Privacy Policy

Collaboration Technologies USA Inc, a Florida corporation ("CollabTech," "we," "us," or "our"), respects your privacy. This Privacy Policy describes how our software applications and integrations — including the CollabTech integration for Intuit QuickBooks Online (the "Software") — access, use, and protect information.

Plain-English summary. The Software connects to a QuickBooks Online company you authorize. It reads invoices, customers, and reports, and writes journal entries. Data processed by the Software stays inside QuickBooks Online. We do not maintain a separate database of your QuickBooks data. Access tokens and minimal operational metadata are held only for as long as needed to operate the connection you have authorized.

1. Scope

This Policy applies to the Software and to the collabtechusa.com website (the "Site"). It does not apply to third-party services that the Software connects to, including Intuit QuickBooks Online, which are governed by their own privacy policies.

2. Information We Access and Process

2.1 QuickBooks Online data (via the Intuit API)

When you connect the Software to a QuickBooks Online company using Intuit's OAuth 2.0 authorization framework, the Software may access the following categories of records from that company:

  • Invoices — read access to invoice records and related line items.
  • Customers — read access to customer records used to attribute or synchronize entries.
  • Reports — read access to standard reports produced by QuickBooks Online.
  • Journal entries — write access, limited to creating or updating journal entries in the connected company.

The Software only accesses the QuickBooks scopes it is granted through Intuit's consent screen. You may review and revoke that authorization at any time in your Intuit account.

2.2 Authorization tokens and operational metadata

To maintain a working connection, the Software stores the OAuth access token, refresh token, realm (company) identifier, and minimal operational metadata (for example, timestamps of the last successful sync and error diagnostics). These are used only to operate the Software and are not sold, shared, or repurposed.

2.3 Website information

The Site is a static marketing site hosted on Amazon Web Services. Standard server-side request logs generated by AWS (which may include IP address, user-agent string, and requested path) may be retained by AWS according to its own retention policies. We do not use advertising cookies, third-party analytics, or cross-site tracking on the Site.

3. How We Use Information

We use the information described above solely to:

  • Authenticate to and maintain the authorized connection with your QuickBooks Online company;
  • Perform the read and write operations described in Section 2.1;
  • Synchronize the referenced records between the connected QuickBooks company and another destination system that you have separately authorized;
  • Diagnose errors, prevent abuse, and improve the reliability of the Software; and
  • Comply with legal obligations.

We do not use QuickBooks data for advertising, machine-learning model training, resale, or profiling.

4. Where Your Data Lives

QuickBooks records processed by the Software remain in your QuickBooks Online company. The Software does not maintain a shadow database of your QuickBooks data outside of Intuit's environment. Records written by the Software (such as journal entries) are stored in QuickBooks Online and are subject to Intuit's data handling practices.

Authorization tokens and operational metadata (Section 2.2) are held in a secured configuration store used solely to operate the Software.

5. Sharing and Disclosure

We do not sell your information. We do not share your information with third parties for marketing purposes. We may disclose information only:

  • To Intuit and Amazon Web Services, as necessary infrastructure providers for the Software to function;
  • To a destination system that you have separately authorized to receive records synchronized by the Software;
  • When required by law, subpoena, or valid governmental request; or
  • To protect the rights, property, or safety of CollabTech, our users, or the public.

6. Data Retention

Authorization tokens and operational metadata are retained only for as long as the connection between the Software and your QuickBooks Online company remains active, plus a short period thereafter for troubleshooting. If you disconnect the Software (either from within the Software or by revoking access in your Intuit account), we will delete the associated tokens and connection metadata within a commercially reasonable period, subject to any legal retention obligations.

QuickBooks records themselves are retained by Intuit under its own retention terms; deleting the Software's connection does not delete your QuickBooks data.

7. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information handled by the Software, including transport encryption (TLS) for API traffic to Intuit, encrypted storage of authorization tokens at rest, and access controls limiting who can operate the Software. No system, however, is perfectly secure, and we cannot guarantee absolute security.

8. Your Choices and Rights

You control the Software's access to QuickBooks Online. At any time you may:

  • Disconnect the Software by revoking its authorization from your Intuit account settings (Apps → Manage app access), or by asking us to disconnect it;
  • Request deletion of the authorization tokens and operational metadata held by the Software by writing to support@collabtechusa.com; and
  • Request information about the categories of data the Software has accessed on your behalf.

Depending on where you reside, you may have additional rights under applicable law (for example, under the California Consumer Privacy Act, the Florida Digital Bill of Rights, or the EU/UK GDPR). We will honor verified requests to the extent required by applicable law.

9. Children's Privacy

The Software is not directed to children under 13, and we do not knowingly collect personal information from children.

10. International Users

The Software is operated from the United States. If you use the Software from outside the United States, you consent to the processing of information as described in this Policy.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The version in effect is identified by the "Last updated" date at the top of this page. Material changes will be communicated where reasonably practicable.
